AI agents in accounting and finance teams

Finance work is digital, rule-based and checkable, which suits agents. It is also where errors and fraud cost most. Where agents help, and where the finance team stays in charge.

Finance teams spend much of their week on work that follows clear rules: entering invoices, matching bank transactions, chasing payments, reconciling accounts and preparing month-end reports. The information is mostly digital, the rules are written down and a trained person can check the result quickly. That makes accounting and finance one of the most promising areas for AI agents, and one where the major software vendors are moving fast.

The accounting platforms are building agents in. Xero says its AI agent, JAX, short for Just Ask Xero, is designed to automate routine tasks and workflows such as bank reconciliations, data entry and getting paid. Intuit announced in July 2025 a set of AI agents for QuickBooks, naming payments, accounting, finance and customer agents, with others for marketing, payroll and project management to follow. Intuit said its own survey found customers were paid an average of five days faster and saved up to 12 hours a month. Those figures come from the vendor and should be tested against your own results.

The jobs agents do well fall into a few groups. On the payables side, they read supplier invoices in any format, enter them as drafts and match them to purchase orders and deliveries. On the receivables side, they send invoices, chase late payers with polite reminders and match incoming payments. In the books, they categorise transactions, suggest reconciliations and flag anything that does not fit. And for reporting, they gather figures from several systems and draft commentary for a person to review.

The opportunity is not only for businesses. Accounting and bookkeeping firms can use agents to serve more clients without hiring at the same rate, and to spend more of their time on advice rather than data entry. For firms that bill by the hour, this also raises a commercial question about how to price work that now takes less time.

The risks in finance are sharper than in most areas, because the work touches money directly. Fraud is the biggest. The FBI's Internet Crime Complaint Center reported business email compromise losses of about 2.77 billion US dollars in 2024, from 21,442 complaints. UK Finance reported 450.7 million pounds lost to authorised push payment fraud in the UK in 2024. Many of these frauds start with a convincing email asking for a payment or a change of bank details. An agent that reads emails and invoices can be misled by the same tricks, or by hidden instructions in a document, a risk the OWASP Gen AI Security Project ranks first among AI application risks under the name prompt injection.

The answer is to keep people in charge of the steps that move money or change who gets paid. Let the agent prepare, match and flag. Require a person to approve payment runs, new suppliers and any change to bank details, and to confirm bank detail changes by phone on a number already on file. Set these limits in the system's permissions, not only in the agent's instructions.

Accuracy and audit matter too. Finance records must be right and must show who did what. Make sure every entry the agent creates is marked as such, every change is logged and a person reviews and signs off the month-end close. Auditors will want to understand how the agent works and how its work is checked, so document this from the start.

Rules on data and tax differ across the seven Infercline editions, and an agent does not change them. Customer and supplier records are personal data under UK GDPR, POPIA in South Africa, Nigeria's Data Protection Act, Australia's Privacy Act, Singapore's PDPA, the UAE and Saudi data protection laws and a range of US state laws. Tax filings remain the business's responsibility wherever they are prepared. Choose tools that store data in line with those laws and keep a qualified person responsible for what is filed.

Why it matters to your business

Finance agents can give a small team the capacity of a larger one, close the books faster and get cash in sooner. But finance is where a careless set-up does the most damage, through fraud, wrong filings or broken audit trails. The businesses that gain most will let agents carry the routine work while their finance people focus on checking, judgement and advice.

What to do on Monday

  1. Ask your accounting software vendor which AI agent features you already have access to, and which are switched on.
  2. Choose one routine finance job, such as bank reconciliation or overdue invoice reminders, for a trial of at least one month.
  3. Confirm that the agent cannot approve payments, add suppliers or change bank details, and that a person must do each of these.
  4. Agree with your accountant or auditor how agent-created entries will be marked, logged and reviewed.
  5. Measure the trial on hours saved, errors found and days to get paid, against last quarter's figures.
